Rules & Regulations

The following Rules & Regulations are available for download, either in PDF format, or as a Word Document.

1. Sweet HD Festival
1.1 Sweet HD Festival's aim is to promote the use of HD both within the industry and amongst the general public, as well as to give support to filmmakers to screen their work in its original format.

1.2 The Sweet HD Festival will be held from Wednesday 24th August to Sunday 28th August. It will take place at the Radisson SAS Hotel in Edinburgh.


2. Eligibility
2.1 Only work that has been shot on HD will be considered for screening. Screening format will be HD only.

2.2 From any year, with or without public screening or broadcasting history.


3. Submissions
3.1 All Submissions must be made by downloading and filling in a Submission Form.

3.2 There is a submission fee of £10 per short (less than 30 minutes) and of £20 for all others, which is due with the Submission Form. Payments must be made in Pounds Sterling by Cheque or Credit Card. Please note that the submission fee is non-refundable.

3.3 The closing date for all submissions, including completed and signed submission form(s), DVD(s)/VHS(s), submission fee and supporting material is 30th June.

3.4 Submissions must be sent to: Sweet Entertainments, Sweet HD Festival, 42 Theobalds Road, WC1X 8NW London, United Kingdom.

3.5 All submitted work must be on DVD or VHS (NTSC or PAL). Do not send master tapes.

3.6 If making more than one submission, please use one form per entry and one DVD/VHS per work, do not put multiple works on the same DVD/VHS.

3.7 DVD(s)/VHS(s) must be labelled with the title, category, full running time including credits and full contact details including name, address, phone number and email. If VHS is supplied please also note on the label whether it is PAL or NTSC.

3.8 All works submitted must be in English or with English subtitles.

3.9 Delivery cost for the DVD(s)/VHS(s) will be borne by the applicant.

3.10 A stamped-addressed envelope must be included with your entry if you require your DVD(s)/VHS(s) to be returned. Sweet HD Festival will not be liable for DVD(s)/VHS(s) or any other material lost in the mail, or being sent with insufficient postage.

3.11 All international submissions must include the wording "Trade Sample" on any customs label. For customs purposes all international submissions are required to give a value of no more than £3 Sterling or US$10 to the package.

3.12 All expenses for the insurance of DVD(s)/VHS(s) are also the responsibility of the producers or authorized organizations.

3.13 The Sweet HD jury chooses the works to be screened at Sweet HD Festival, and its decision will be final.


4. Successful Submissions
4.1 If your submission is successful you will be informed no later than 10th July.

4.2 You will be required to supply a master copy on HD for screening at the Sweet HD Festival.

4.3 Delivery, return or forwarding costs of the master copy will be borne by the applicant.

4.4 All international submissions must include the wording "Trade Sample" on any customs label. For customs purposes all international submissions are required to give a value of no more than £3 Sterling or US$10 to the package.

4.5 If successful you will be required to supply any press material no later than seven days from the day of notification. Please send us additional material, e.g. trailers, posters, photos etc as soon as possible but no later than 20th July.

4.6 Screening tapes must be sent to: Sweet Entertainments, Sweet HD Festival, 42 Theobalds Road, WC1X 8NW London, UK, no later than 20th July.

4.7 Sweet Entertainments will accept responsibility for technical damage, fire and destruction, loss or theft, during the period of time the tapes are in possession of Sweet HD Festival while they are within and between the Sweet HD Festival official boundaries in London/Edinburgh and will reimburse the value of the tape only.


5. Screenings
5.1 The programming details will be decided by Sweet Entertainments. We reserve the right to alter the Scheduled Times at any time.

5.2 Where possible, shorts (no longer than 30 minutes) will be screened together to make a slot of 1 hr - 1½ hrs.

5.3 All films will be screened to a paying audience.

5.4 A stand-by tape of each film with subtitles, if applicable, must be available from the start of the Festival.

5.5 The participants must ensure that they have the right to screen at the Sweet HD Festival with regard to third persons connected to the production of the screening work.

5.6 Sweet Entertainments reserves the right to refuse or cancel projection of any work if advised by responsible technicians that the tape/disk is not of sufficient quality to ensure satisfactory public screening.


6. Box Office
6.1 Tickets will be priced by Sweet Entertainments and its decision will be final.


7. General
7.1 Sweet Entertainments has the power to settle all cases not covered by the present rules.

7.2 Participation in the Festival implies acceptance of all the aforementioned regulations. These rules apply to all categories.
